Job Description: We are seeking a highly skilled and tech-forward Executive Assistant to support the owner of a multi-unit retail operation. Works closely with the Business Owner and Operations team to ensure that the business is proactively set up for automation, accurately tracked, and sufficiently documented. This role focuses on leveraging cutting-edge AI technology to streamline retail operations across multiple locations.

Specific Duties Include:

• Lead AI Implementation: Act as the primary architect for Claude-based automation, setting up "skills" and agents to optimize business workflows.
• Data Integration & Visibility: Manage data across 3–4 different operational software systems and build customized dashboards to track key metrics.
• Financial Oversight: Manage QuickBooks entries, ensuring accurate bookkeeping and financial reporting for the executive team.
• Operational Automation: Identify manual tasks and proactively deploy AI-driven solutions to improve efficiency.
• Executive Support: Maintain clear documentation, manage project timelines, and provide regular reporting on business activity.
• Stakeholder Coordination: Collaborate with vendors and technical teams to ensure seamless software integration.

Required Skills:
Requirements:

• Advanced AI Expertise: Demonstrated experience using Claude to automate business operations (must show real-time examples of "skills" or agents built).
• Software Proficiency: Strong working knowledge of QuickBooks and experience building data dashboards.
• Technical Savvy: High level of comfort with automation tools and the ability to bridge multiple software ecosystems.
• Professional Experience: 2–4 years of experience in executive support, operations management, or a technical administrative role.
• Educational Background: Bachelor’s degree in Business Administration, Data Analytics, or a related field.
• Documentation Skills: Experience with specification processes and maintaining structured business records.
• Remote Fluency: Highly comfortable working independently with distributed teams and managing remote stakeholders.
• Language: High level of English proficiency (an English Test may be required as part of the process).

Job Description: Works closely with the Project Manager and Field Staff to ensure that the project is proactively set up to be accurately executed and sufficiently documented. Specific duties include:

Key Responsibilities
• Oversee lighting design projects from start to finish
• Coordinate project timelines, resources, and stakeholders
• Monitor budgets, deadlines, and production milestones
• Maintain clear documentation and regular reporting
• Collaborate with vendors and creative/technical teams
• Provide updates and presentations to U.S. clients.

• Able to read construction contract documents (plans & specifications)
